POSITION RESPONSIBILITIES:

·Provide support to the Sr. Director RD, Patient Monitoring in all areas of work, including calendaring, scheduling meetings and appointments, travel reservations and reimbursement, interfacing with physicians and other Medtronic Senior Executives, and ensuring other administrative needs are met. Support duties include but are not limited to:

§Responsible for coordinating daily schedule.

§Handle correspondence as directed including composition and disposition of letters and memos as requested, preparing confidential documents, proofreading and ensuring correct grammar. Responsible for maintaining efficient phone coverage. Maintain total confidentiality in all matters of correspondence, telephone messages and personal conversations.

§Acts as liaison between the executive’s offices, staff and all inter-company departments.

§Take meeting minutes for all meetings as requested. Provide ‘to do” and follow-up lists based on meeting notes. Track progress on all follow-up items.

§Schedule meetings, coordinate catering, conference room hotel accommodations for out of town guests, and follow up with all parties to confirm attendance.

§Manages files and ensures they are accurate and current.

§Creates and updates graphics presentations for a variety of purposes, with high level audiences.

§Interacts with peers, upper management, vendors, clients and customers on a frequent basis.

§Maintain high level business etiquette in receiving executive’s visitors; establish and maintain harmonious working relationships with superiors, co-workers, customers and suppliers.

§Coordinate executive’s extensive travel arrangements.

§Process and track all company forms (expense reports, purchase orders, check requests, etc.)

·Take action authorized during executive’s absences and use initiative and judgment to see that all matters are handled in a manner to minimize effect of executive’s absence.

·Maintain necessary files in support of executive’s activities. Coordinate and maintain effective office procedures and efficient work flow.

·Tracks and reviews budgeting process.

·Implement policies and procedures set by management.

·Acts as a resource for organizational policies, issues and procedures.

·Responsible for coordination of regularly scheduled all-employee and staff team meetings and other employee events related to business milestones and celebratory events.

·Work under minimal supervision while carrying out independent responsibilities.

·All activities must be performed in compliance with the Quality System.

·Performs duties in compliance with environmental, health and safety related site rules, policies or governmental regulations.

EDUCATIONREQUIRED:

· High School Diploma

YEARS OF EXPERIENCE

  • 4+ years of related experienceat EXECUTIVE level with similar job skills

SPECIALIZED KNOWLEDGEREQUIRED

·Must have prior experience handling confidential, sensitive business information and supporting executive level professional.

·Excellent proofreading/composition skills; strong written and oral communication skills in English.

·Excellent proficiency with Microsoft Word, Excel and PowerPoint.

·Must demonstrate professional demeanor and diplomacy and tact.

·Must possess a high level of energy and willingness to work independently in a “fast paced” environment. Flexible - ability to adapt to changing requirements and priorities.

·Excellent organizational skills required with ability to prioritize. Ability to work well with multiple instructions and directions, and in ambiguous situations.

·Ability to handle difficult situations.

·Must be proactive and able to prioritize work independently.

·Excellent interpersonal skills - ability to work with others and interface with all levels of the organization and management.
